Travel Planning Planner

A step-by-step planner for organising a trip when you use a wheelchair, mobility scooter or other accessibility equipment. Work through it from first idea to travel day.

Trip overview

  • Destination and dates.
  • Who is travelling, and who is the main contact.
  • Main purpose of the trip and must-do activities.
  • Budget, including any extra costs for accessible transport or rooms.

Before booking

  • List your access needs: step-free access, door widths, bathroom set-up, bed height, hoist space.
  • Check your travel insurance covers your condition and your mobility equipment.
  • Check whether your equipment needs a battery or lithium information sheet.
  • Note any assistance you need at each stage of the journey.

Transport

  • Book airport, rail or ferry assistance in advance and keep the reference.
  • Confirm how your wheelchair or scooter will be carried and returned.
  • Check accessible taxis or car hire at your destination.
  • Plan rest stops and accessible toilets for long journeys.

Accommodation

  • Ask for photos and measurements of the accessible room and bathroom.
  • Confirm step-free access from arrival to the room.
  • Check shower type, grab rails, bed height and space beside the bed.
  • Get the accessible room confirmed in writing.

Medication and equipment

  • Pack enough medication for the trip plus spare days, in your hand luggage.
  • Carry prescriptions and a letter describing any medical equipment.
  • Take chargers, adaptors and spare parts for mobility equipment.
  • Label equipment with your name and contact details.

The week before

  • Reconfirm assistance bookings and your accessible room.
  • Check the weather and accessible routes at your destination.
  • Share your itinerary with a family member or friend.
  • Charge all batteries and test your equipment.

Travel day

  • Allow extra time for assistance and security.
  • Keep documents, medication and chargers in one easy-to-reach bag.
  • Tell staff about any damage to equipment straight away.
