Airport & Wheelchair Assistance Checklist

A practical checklist for planning airport assistance, travelling with a wheelchair or mobility aid, and checking the important details before you fly.

UK guidance: passengers with disabilities or reduced mobility are generally entitled to free assistance on qualifying UK flights. The CAA recommends requesting assistance at least 48 hours in advance. Check current airline and airport requirements before every trip.

Before booking

  • Tell the airline or travel agent about your assistance requirements.
  • Request assistance when booking or at least 48 hours before departure where possible.
  • Ask how to request assistance and keep written confirmation.
  • Check whether your wheelchair or mobility aid needs advance approval.
  • Record your wheelchair or mobility aid make, model, dimensions and weight.
  • If powered, record the battery type and any removable components.
  • Ask about the airline's rules for your specific mobility aid.

At the departure airport

  • Locate the designated assistance point before travelling.
  • Allow extra time for check-in, security and boarding.
  • Confirm assistance is recorded against your booking.
  • Ask how far the walk is to the gate and what transport is available.
  • Ask whether boarding uses an air bridge, ramp, lift or aircraft steps.
  • Check where and when your own wheelchair will be handed over.

Security & boarding

  • Tell security staff about relevant mobility or medical equipment.
  • Ask for assistance during security if required.
  • Confirm how you will transfer to the aircraft seat.
  • Ask whether an onboard wheelchair is available for toilet access.
  • Keep essential medication and important documents with you.

Arrival

  • Confirm where your wheelchair or mobility aid should be returned.
  • Check your equipment for damage before leaving the airport.
  • Photograph any damage and report it promptly.
  • Confirm assistance through baggage reclaim and to your onward transport if needed.
